Adelaide Mar Thoma Church (AMTC) is pleased to offer its volunteer members access to Microsoft 365 services, including 1 TB of free online storage via OneDrive, under the Microsoft 365 Nonprofit Basic license. This service is provided as part of AMTC's commitment to support its community in both spiritual and practical ways. The following document outlines the benefits, responsibilities, policies, and guidelines for members who choose to use this service.

By accepting this service, you are receiving access to powerful tools that can enhance your productivity, spiritual growth, and community engagement, all at no cost to you. Here is a brief overview of what you are gaining:
1 TB of Free Cloud Storage: Securely store and access your files, documents, photos, and videos from any device, anytime.
Access to Microsoft 365 Applications: Use web-based versions of popular Microsoft apps like Word, Excel, and PowerPoint for your personal or church-related projects.

Cost Savings: Comparable storage services typically cost individuals upwards of $100 annually. By utilizing AMTC's offering, you receive these benefits free of charge.
User Responsibilities
While AMTC is providing this service to its volunteer members, hereafter referred to as members, it is important to understand that the responsibility for proper and ethical use lies with you, the user. By accepting and using this service, you agree to the following:
Register yourself as a volunteer of AMTC and contribute to Church activities and events by organising, participating and/or propagating them from time to time.
Content Responsibility: You are solely responsible for the content you store in your OneDrive account. AMTC assumes no responsibility for the content uploaded and stored by its members.
Compliance with Policies: You must adhere to Microsoft’s Terms of Service and Privacy Policy, as well as AMTC’s guidelines outlined in this document.
Data Privacy: Protect your account by using strong, unique passwords and enabling two-factor authentication. You should regularly back up important files and be aware of potential risks, such as phishing or data breaches.
Appropriate Use: This storage is intended for personal and church-related use only. Storing or sharing content that is illegal, explicit, or contrary to AMTC's values is strictly prohibited. In the event any illegal, explicit content contrary to AMTC values are stored, AMTC will not assume any responsibility for the content. Any / All responsibility for content will rest solely with the User.
1. License Allocation
Eligibility: Each family within the AMTC community is eligible for up to two Microsoft 365 licenses. Families are responsible for nominating which members will utilize these licenses. Nominations should be communicated to AMTC’s IT support team at `support@adelaidemarthomachurch.org`.
License Termination: Should a family or individual move away or cease membership with AMTC, they will be granted a one-month period to transfer any stored content before their account is disabled and the license is reallocated. A second reminder will be sent 1 week before termination.
Permitted Content: Users are encouraged to use their storage for content that supports their personal and spiritual growth, such as storing family photos, religious materials, or important documents.
Prohibited Content: Storing or sharing content that is illegal, explicit, or otherwise not suitable for the church community is prohibited. Violations may result in immediate revocation of access to the service.
3. Financial Considerations
License Capacity: AMTC currently has 290 free licenses available. If church membership exceeds this capacity, the cost of additional licenses will be shared among all active members. The exact cost and payment details will be communicated in advance.
No Obligation: While AMTC provides this service free of charge within the capacity of available licenses, users who wish to continue accessing additional licenses (should the need arise) may be required to contribute to the associated costs.
4. Privacy and Security
Data Management: Users are solely responsible for managing their own data. This includes setting up secure passwords, regularly backing up important files, and understanding the privacy implications of using cloud storage. AMTC will not be liable for any data loss that may occur.
Security Measures: Users should take all necessary precautions to secure their account. AMTC is not liable for any data loss or security breaches that may occur.
5. Dispute Resolution
First-Level Concerns: Any concerns regarding the use of Microsoft 365 services should be directed to the Secretary at `secretary@adelaidemarthomachurch.org`.
Final-Level Concerns: If the issue is not resolved at the first level, it can be escalated to the Vicar at `vicar@adelaidemarthomachurch.org`.
To ensure a smooth experience, please follow these guidelines when setting up and using OneDrive on various devices:
1. Setup and Access:
a. Open File Explorer (Windows) or Finder (macOS).
b. Locate and select OneDrive in the sidebar. Sign in using your Microsoft account credentials.
c. Configure sync settings as needed.
2. Managing Files:
a. Upload, move, and organize your files directly within File Explorer or Finder.
1. Use dedicated Apps available in App Store.
2. Browser Access: Go to [OneDrive](https://onedrive.live.com) on a browser and sign in with your Microsoft account credentials to access and manage your files directly.
3. File Management (Optional): Add OneDrive as a location in file management apps (e.g., Files on iOS) if supported.
By using the Microsoft 365 services provided by AMTC, you acknowledge that:
No Liability: AMTC is not responsible for any content stored, data breaches, or loss that occurs as a result of using this service. The responsibility for managing and securing your data rests entirely with you, the user.
Service Modification: AMTC reserves the right to modify or discontinue this service at any time. Users will be given one month's notice to transfer data should the service be terminated.
